FROM CHAOS TO CONTROL
Build it once, run it forever.
Let’s cut to the chase:
If your business feels chaotic, you’re not alone… You just need systems.
HERE’S THE TRUTH:
A business that depends on you is a job.
A business that works without you? That’s an asset.
WHY SYSTEMS MATTER
(and why most business owners ignore them)
We all want freedom and growth, but most brick-and-mortar owners are stuck playing firefighters because every process lives in their head (or worse, in random texts, sticky notes and email threads). Are you involved in the minor details of your business like postage, printer cartridges, paper, cleaning the store, maintenance issues, etc…etc?? If you answered YES, your phone is ringing off the hook with problems (that SYSTEMS would solve !!) and you are worn out at the end of every single day. Ask me how I know. You will hit burn out before you realize your dream if you do not start implementing systems. This I promise, I have seen it.
THE RESULT OF LACKING SYSTEMS?
· Inconsistent customer experiences
· Employee confusion
· Owner burnout
· Growth that hits a wall
If that sounds familiar, you don’t have a people problem, you have a systems problem.
THE 3 TOOLS YOU CAN’T LIVE WITHOUT
JOB DESCRIPTIONS:
Every team member needs to know exactly what “winning” looks like in their specific role. No guessing, no “figure it out as you go.”
EMPLOYEE HANDBOOK:
This is your playbook. It covers your mission, your values, the rules of the game, and what happens if someone steps out of bounds.
SYSTEMS FOR ACCOUNTABILITY:
Documented, repeatable processes—from how the phone gets answered to how you close out the register. No two businesses have the same systems, but every successful location runs on them.
HOW TO START - WITHOUT OVERWHELM
You don’t need to build Rome in a day. Here’s this week’s challenge:
1️⃣ Pick one process that causes headaches (answering the phone, greeting customers, handling cash—whatever trips you up most often).
2️⃣ Write down how it’s done right now—even if it’s messy.
3️⃣ Brainstorm three ways to make it smoother or more consistent.
4️⃣ Create a one-page system for it.
5️⃣ Test it with your team and get feedback.
Pro tip:
Don’t wait until you’re drowning in drama to get serious about systems. Build them now—so you can actually enjoy your business later.
REAL TALK FROM THE TRENCHES
Honestly, I’m not sure that I knew what I was creating until I looked back and saw how things had evolved. And, just brutal honesty, it wasn’t until I hired my first HR director that I was made aware of what needed to be fixed, and what had been done correctly. When I finally built out job descriptions, handbooks, and process docs: my stress dropped, my team stepped up, and my businesses became real assets—not just high-paying headaches.
FINAL THOUGHT
Every problem in your business is either a people problem or a systems problem.
Fix the systems, and the people part gets a whole lot easier.
